What goes in a wedding photography quotation?

Coverage hours for the lead photographer, a second photographer if there is one, the engagement session, what is delivered (how many edited images, the gallery, prints, the album), travel, and the retainer that holds the date. Price coverage by the hour and the products one by one. A couple can then see why the price changes when they drop the second shooter or add an album, instead of being handed a package they have to decode.

How much should a wedding photographer charge?

Work backwards from a year. Decide what you need to earn, count the weddings you can realistically shoot and edit, and divide. Then check the result against the time each wedding really takes: meetings, the day itself, culling, editing, delivery, the album. For many photographers that is 40 or more hours per wedding, not the 8 on the day, and the hourly rate on the quotation has to pay for all of them.

Estimate or contract?

The quotation tells the couple what it costs. The contract says what happens if the day changes, the weather turns or someone cancels. Send the quotation first. Once they say yes, send the contract with the retainer invoice. The terms on this sheet are a summary, not a contract.

How do I turn this into a PDF?

Fill in the sheet, press "Print or save as PDF", and pick "Save as PDF" (or "Microsoft Print to PDF") as the printer.
